How Can IP Fax Enhance EDM?

By Susan J. Campbell, TMCnet Contributing Editor

How do you manage data in your environment? Chances are, unless yours is a highly regulated industry, you may not have the optimal resources to effectively manage all of your data. So where do you start? Does it require the purchase of a data center or the launch of a cloud-based platform that will support your efforts?

In many cases, the launch of an electronic document management (EDM) system is all you need to get you going in the right direction. If you already have an IP fax, you’re well on your way to reaping the benefits of an all-IP environment. This approach to data management allows you to reduce costs, increase productivity, improve service and meet any regulatory requirements you may have.

Let’s consider an accounting firm working with a paper recording and filing system. They are essentially creating a logistical nightmare, especially during tax season. Any time a client requests a copy of a file, it can take an employee up to 40 minutes to track it down, create a copy and provide it to the client. A paperless approach enabled by EDM puts all this information in a centralized location, whether it’s on-premises or in the cloud.

The same is true for any business that has traditionally been paper-based. If you also have to communicate with a number of entities outside of your business by way of fax communications, fax over IP can streamline much of this process and keep your overall costs down when it comes to the management of that information. With IP fax, you can simply pull the digital file from the file server and fax it via the Internet. Conversely, when receiving a fax, you can store it in the appropriate location for easy search and retrieval in the future.

While this technology not only means you no longer have to make the trek to the analog fax machine, it also means you can reduce your overhead costs up to 40 percent, thus driving profitability and growth. If you leverage a cloud-based system, you don’t even need the hardware infrastructure to support digital communications. Administrative staff no longer needs to spend time managing reams of paper documents, and the newly realized efficiencies allow internal staff to focus on core business processes that drive revenue and growth.

When you combine the IP fax with your EDM system, you create a fully integrated environment that simply lends itself to success.
