Enterprise Content Management, IP Fax and the Search for Cost Savings

By Rory Lidstone, TMCnet Contributing Writer

Companies and organizations are always striving to save as much money as possible, and the recent financial downturn served as a stark reminder of this. Fortunately, there are more ways than ever for businesses to save money, particularly in terms of software solutions.

Cloud-based offerings, for example, are a great way to keep costs down, while older concepts like enterprise content management (ECM) have experienced resurgence in popularity as well.

Traditionally, ECM is used more in the back office as a way to store documents, usually relating to compliance, and for managing unstructured content gathered from the Internet. However, when integrated with core enterprise platforms, ECM becomes much more valuable, ensuring all types of documents and data from various sources are stored electronically in one central location, for easy accessibility.

An excellent example of this is Microsoft (News - Alert) SharePoint, which has transformed from intranet content and document management to providing intranet portals, document file and management, collaboration, social networks, enterprise search, business intelligence and much more — all from a single platform.

Perhaps the best aspect of ECM, being that it focuses on storing all content digitally, is that it lends itself well to paperless setups and supporting paperless technologies such as IP fax. As such, companies can further keep costs down not just from the efficiencies offered by ECM, but by embracing the paperless office, minimizing wastes and costs.

Meanwhile, IP fax is itself linked with cost-saving initiatives such as the cloud, while even offering a way to stay HIPAA (Health Insurance Portability and Accountability Act) compliant — an essential factor for companies and organizations in the healthcare industry.

Indeed, with an increasingly mobile world, cloud technology is becoming more prevalent, in turn making the need to access digital content while on the go more prevalent. The best way to support this need is through a reliable ECM setup, complemented by IP fax.
