VoIP Delivers More Than Just Cost Savings

The first thing that most people talk about when they mention voice-over-IP (VoIP) is that it reduces telephone costs through its use of the Internet for transmission instead of copper telephone wires. While cost savings certainly is one good reason to use VoIP, it isn’t the only reason.


In fact, there are many additional benefits to using VoIP. Unlike traditional phone lines, which are separate from the rest of our digital lives, VoIP is digital and therefore can integrate better with other digital technologies. This translates into many additional benefits for VoIP above what we normally expect when we talk about telephone service.

Speech to text is a great example. Since VoIP is digital, it is possible to relatively easily to generate transcripts of telephone conversations via speech to text functionality. While this was hard or impossible to do with traditional phone systems, it is relatively easy with VoIP.

The advantage of having transcripts of conversations or voicemail is not hard to see. Not only can conversations be recorded, but it also is easy to scan through these conversations if they are in text form. And, crucially, to search for keywords within conversations.

Fax functionality is another benefit of VoIP. While the fax is not a new technology by any stretch of the imagination, many businesses still rely on fax service for their business processes. Fax also is a great way to transmit signatures.

The problem is that fax is even more isolated from other digital services than calling. But with VoIP, it is possible to transmit faxes digitally in much the same way as calling can be transmitted by digital means. This is useful because it allows for searchable faxes, integration with document management systems, and faxing on the go.

Speaking of on the go, another value of VoIP is its ability to facilitate mobile calling. VoIP is even better than cell phones when it comes to mobility, because with a cell phone it is possible to lose cellular coverage or have to pay roaming charges. Phones also run out of batteries.

But this is not the case with VoIP. With VoIP, office phones can be accessed and used from mobile phones, but the advantage of VoIP beyond just using a cell phone is that this telephone number also can be used from the office or another computer device. So even if reception is bad or a battery dies, the call still can get through.

There’s no roaming charges, either, since VoIP used the Internet for transmission.

So while cost savings are significant with VoIP, there also are many other reasons to consider the technology.
