Zetafax Increases Productivity by 500 Percent for Independent Express Cargo

In the traditional office environment, faxing and productivity did not always go together. Now, as communication technologies continue to evolve, fax technology is becoming surprisingly productive with the help of fax over Internet Protocol and integration into the IP network.

Independent Express Cargo, based in Dublin and Belfast, had a problem. The company has a primary business focus on transportation from U.K. to Ireland on behalf of customers in both Dublin and Belfast. Smooth logistics depend upon rapid communications between all parties. A single delay can upset the entire process, potentially resulting in lost orders or poor customer satisfaction.

As e-mail availability and broadband connectivity is unreliable in many areas, Independent Express relies heavily on fax communication to deliver consignment details to collection agents throughout the world. The process is often highly manual and requires administrative staff to print and fax information according to tight timelines.

With reliance heavy on stand alone fax machines, significant pressure was put on equipment and staff during peak times. Add that to the cost of the process and unnecessary risk, Independent Express needed to make a change. That change needed to improve timeliness of consignment information and a reduction in expensive manual overhead.

The right change came in the Zetafax network fax solution from Equisys, which was installed by Equisys partner Servaplex. Independent Express also received a 25 user license for Zetafax Business Edition and an Eicon Diva fax card. The company now enjoys Zetafax support of inbound routing via DDI and DRMF.

As a result, faxes can be sent directly to and from any networked PC. At the same time, the technology is integrated with Independent Express' e-mail system. With this feature, faxes can be managed, sent and archived along with e-mails. In addition, fax consignment information can be sent directly from the PC and every fax is automatically archived for easy retrieval at later times.

Zetafax is now being used by Independent Express to confirm delivery status to customers preferring to use fax rather than e-mail. This process reinforces the company's customer service objective, ensuring customer information requirements are always met whether broadband or e-mail is available at any given time.

According to Gary Costelloe, IT manager at Independent Express Cargo, "We've achieved a 500 percent increase in productivity since adopting Zetafax as our network fax solution. The phenomenal growth we've experienced has been achieved without the need for additional staff."
