INSERTING and REPLACING MyPayrollHR Shutdown: What To Do if you are an Employer or an Employee

MYPAYROLLHR SHUTDOWN: WHAT TO DO IF YOU ARE AN EMPLOYER OR AN EMPLOYEE

If you are one of the many employers or employees that are victims of the MyPayrollHR shutdown, there are a few things that you should be doing to ensure compliance and reduce exposure to unforeseen liabilities. Below are some steps employees and employers should be taking if they have been affected by the abrupt closure of MyPayrollHR:

EMPLOYEES

  1. Contact your bank branch manager and consider filing an "unauthorized ACH transaction." In most states, by law, the bank should honor your challenge of an "unauthorized ACH transaction", and reverse the withdrawal pending investigation. Check with your branch manager about their policies and your eligibility on coping with this issue.
  2. Log into MyPayrollHR employee's portal and download every paycheck you can. Retain a PDF copy for your records.

EMPLOYERS

  1. Log into MyPayrollHR website IMMEDIATELY and download every report you possibly can.




This includes:

 

  1. Quarterly payroll summaries - by employee (download the payroll summary reports for every payroll you were with MyPayrollHR if possible). Don't forget to add the current quarter to date reports to ensure remaining payroll in Q3 is processed correctly.
  2. A941 IRS Tax Filings for Q1 and Q2 2019.
  3. All state reports you can access.
  4. All monthly benefit reporting and payments you can access.
  5. Payroll summary report for the full WC policy year that shows employee names, gross wages, overtime dollars, and all other pay types.
  6. Employee Census data (to include W-4 and I-9 information). In some cases, you may need to download the census data for employee's terminated in 2019.
  7. Verify your most current payroll taxes have been submitted to the appropriate agencies and when they were last paid.

 

  1. EFTPS.GOV - https://www.eftps.gov/eftps/ may have your most recent payments; often bulk processors use a bulk filing method rather than logging into individual EFTPS accounts. A phone call to the IRS may be required. Some CPA firms can electronically file transcript requests, check with your preparer.
  2. State Revenue websites - may have a bulk filer, make the phone call and inquire.
  3. State Unemployment - Log into your website to see if a payment was made or make the call - agency numbers are listed on this link - Contacts for State UI Tax Information and Assistance

 

h. Employers may also need to contact their bank manager to make sure there are not any strange unrecognizable transactions happening with them. If so, you should consider closing your accounts.
