Most businesses are not benefitting from dedicated workforce management systems and new technologies like smartphones and tablets, according to the new Value Index on Workforce Management for 2014 survey from Ventana Research. More than half of organizations still rely on desktop spreadsheets to do workforce management, Ventana finds, also pointing out that dedicated workforce management systems are much more capable and reliable tools for the job.

Workforce management involves tracking the time employees have worked, compensating both hourly and salaried workers, and aligning work with the organization’s objectives and employee needs, says Ventana. Absence tracking, retail task management, retail demand scheduling, and dashboard analytics features are also included in some workforce management solutions.

The leader in providing dedicated tools for this purpose is Kronos (News - Alert), says Ventana. Ceridian and Infor run a close second, according to the research firm, which categorizes these three with a “Hot Vendor” rating. The Ventara Warm Vendor list includes Oracle, WorkForce Software, ADP, SumTotal Systems, SAP (News - Alert), Empower and Workplace. Ventana bases these rankings on the completeness of offering, including the strength of scheduling and absence management capabilities, and support for next-generation capabilities.

By next-generation capabilities Ventana is referring to advanced analytics, business collaboration, cloud computing, and mobility. Advanced analytics and cloud computing in particular can improve total cost of ownership related to workforce management via lower support costs and the ability to get key business analytics as part of the larger solution, the firm says.

As a whole, organizations tend to be immature in terms of adopting the next generation of systems. Nearly three in five organizations rank at the lowest two of the four levels of Ventana’s maturity hierarchy. The firm says these companies “have work to do in updating their use of people, processes, information and technology to manage their workforces.”
