Exploring the Real Benefits in VoIP Management

By Susan J. Campbell, TMCnet Contributing Editor

Investing the time and money to migrate from a legacy system to Voice over Internet Protocol (VoIP) is a big commitment, even with the promised benefits looming on the other side. VoIP can replace the current legacy phone system for cost savings, improved efficiency and better quality. And while it may make good business sense, not every owner is ready to take on VoIP management.

As captured in this WBJournal piece, VoIP takes information and data from a voice transmission and transcribes it into a digital format that can be transmitted over the Internet through a data line. Many larger companies use VoIP management and VoIP gateway technology on a daily basis and many small to medium-sized businesses are quickly realizing the benefits and potential.

Making the real connection – VoIP management gives businesses the tools to connect its customers with a real person, regardless of their location. Imagine how much business is truly lost because a customer is tired of waiting on the phone to get an answer. Contacts can be personalized to ensure this doesn’t happen to any of your customers.

Unifying communications – VoIP management means unified communications, offering you a single platform on which to management all of your communications tools. VoIP management offers integrated voice over land and mobile devices, e-mail, conferencing and instant messaging. All of these capabilities will be streamlined over a single network. The elimination of multiple wires and equipment maintains efficiency and effectiveness.

Productivity is key – VoIP is a powerful way to lower costs while increasing productivity. When voice and data are combined, bandwidth can be allocated depending of the different traffic requirements. All users within the organization can easily access the platforms and messages, whether they are in the office or working remotely.

Flexibility included – scalability and compatibility are important in a growing small business. VoIP management offers the ability to combine the different systems within a single company, maximizing the overall potential for flexibility. It also offers easy user access with every PC-based application feature.

Easing the burden – VoIP management can also ease the burden the IT department, or the company’s reliance on their IT provider. System administrators can be done with a standard web browser, eliminating the need for extra programming or technical support.

Evaluating the move – comparing the investment in a new VoIP management solution to the existing hardware is a smart first move. Consider finding parts to upgrade the current system, PBX (News - Alert) lease and monthly service charges. Eventually the old system won’t cut it and an investment in newer technology will be the only way to maintain a competitive advantage.
