Where IP Fax Fits in a Collaborative World

By Michelle Amodio, TMCnet Contributor

Regardless of where technology is taking us, one thing is for certain: companies are only as strong as the people who work to support them, and how they work and collaborate sets the tone for the entire company.

At the heart of collaboration, though, is technology. It’s the hub in the middle of the spokes that keeps the workforce moving. When a company decides to put collaboration technology into use, it can organize its information. Typically, all information that a company has resides in different locations, such as servers, computers and multiple databases. This makes it difficult to access the relevant information and the effort of finding it is time consuming.

Instead of having to search through a file cabinet or a team member's network folder on a shared drive, all documents can be stored in a central location. By using collaboration technology, multiple team members can work on the same document at the same time. Changes made to the document can be tracked using collaboration software.

By having all documents in the same place, team members in different time zones or countries can work on files and leave notes for others who work on the document next.

IP fax fits rather nicely into the entire process when it comes to document storing and sharing. The very function of IP fax is that it takes traditional fax, which relies heavily on equipment and a lot of paper, and brings it into the digital realm.

IP fax services give businesses the ability to receive incoming faxes via email or digital fax servers. Beyond convenience, this service ensures the privacy of communications, which is important in the legal and healthcare industries. Prospective users can economically bundle this service with the many other productivity-enhancing features, especially many of those found in collaboration technology.

With one system, businesses can significantly reduce the cost spent on ink, paper and fax repairs by utilizing an IP fax system in conjunction with other collaboration tools.

Companies can save money by using collaboration tools, just like they can save money by ditching traditional fax and moving towards an IP system. No longer does the company have to pay for video conferencing equipment or travel expenses, when everyone on the team can be on the phone and review the documents at the same time.

Using the collaboration software to save documents allows the company to save money on shipping and faxing expenses, especially since faxes can now be sent over IP.

The days of having to send a document around the office or through the mail or traditional fax to multiple offices for edits are quickly ending, thanks to collaboration software and IP fax technology.
