Will We Ever See A Paperless Office?

By Michelle Amodio, TMCnet Contributor

In spite of our best efforts to “go green” and try to turn our offices into paperless ones, paper is not exactly done being printed. Literally.

Oki Systems in the UK recently conducted a survey that had some rather alarming results. 92 percent of those polled in the survey said they still carry out some kind of printing on a daily basis, half those saying it’s ten or more pages a day.

That’s a lot of paper.

The printing going on is, for some, personal, but those who engaged in personal printing said it was for a lack of printer at home. Personal printing aside, 59 percent of the respondents said they print because they need hard copies and evidence for certain instances, like compliance or proof.

To mitigate the printing and ink expenditures in the office, companies are starting to instigate printing policies to reduce energy and paper.

Another way to lower printing expenses is taking away traditional fax machines and putting an IP fax system in its place.

There is no paper or ink wasted with IP fax. Users only need to print the stuff that is 100 percent necessary. At the end of the day, traditional fax has become an archaic technology, but IP fax remains a distinctly separate and unique tool for increased efficiency, productivity and cost-savings in an increasingly IP world.

When it comes to sending documents, there’s always a tried and true e-mail attachment, and of course there is fax. The latter in its legacy form used paper, but thanks to IP communications, fax VoIP eliminates the paper and offers all the benefits of fax without sacrificing trees.

Despite its tried and true methods, traditional fax is also rather limiting. Because traditional fax uses regular phone lines, only one fax can be transmitted at a time, using more paper and more energy. IP fax does away with that, making it a rather attractive option.

With newer technologies in place, combined with the power of IP, fax over IP is a viable and excellent choice when trying to green up your office space.
