Sagemcom Simplifies IP Fax Document Management with New Software

As businesses continue to migrate to IP communications environments, they also are rapidly learning the benefits of including IP fax capabilities in their overall strategies. There are the obvious, hard savings, such as eliminating the additional paper and ink/toner needed when faxes must be printed, not to mention more frequent maintenance resulting from the added usage. They also eliminate the need for PSTN lines required for traditional fax, as well the costs of replacing aging or broken machines themselves.

Of course, there are the less quantifiable, yet equally important soft benefits than result from users not having to manually feed documents and dial outbound numbers, along with not having to walk to and from fax machines or printers when sending or printing documents.

But, once businesses have their IP fax systems in place, and no longer have to deal with reams of paper that need to be filed, they are nonetheless faced with one important dilemma – how to handle the influx of electronic documents that have replaced hard copies.

The software can connect to multifunction printers, scanners, and standard desktop applications, allowing easy digitization and storage of documents. User can file documents manually or, to further increase process efficiencies, they can set rules for automatic naming and filing conventions as well as access rights.

The search function provides simple one-click access to documents based on basic, multi-criteria, or full-text search options – not unlike the ease with which users can quickly find and retrieve emails.

The migration to all-IP environments is only picking up steam – including the adoption of Unified Communications (News - Alert) and IP fax solutions.  As businesses make the move, they will quickly find that, without an effective document management solution in place, they will quickly become overwhelmed with the time and effort it can take to sort through electronic documents. Even the best filing systems will ultimately succumb to pure volume, resulting in lost productivity – and revenue. Addressing that problem before it becomes one will save countless resources and will help them more effectively serve their customers from the outset.
