Phone Systems Strengthen Customer Service

By Stefania Viscusi, Assignment Desk Editor

Phone systems are an important part of today's businesses, not only because they make communications possible, but because they serve as a main channel for customer contact.

While many customers can now go online to speak with companies about an issue, studies have shown that phone support is still highly valued. For this reason, it is important that companies invest in a phone system with features that help increase loyalty and strengthen customer relationships.

One of the advanced features offered by a VoIP phone system is the ability for callers to reach someone using a central contact number, regardless of where that person is located. Improved routing and transferring capabilities will help callers to feel better about the service they receive.

Businesses using VoIP phone systems are also able to send voicemails along as emails, so employees can work more efficiently and only have to check one box rather than check both email and voicemail for messages. Also, having an attached recording of a voicemail in email format makes passing messages along to other team members faster and easier.

Phone systems with call recording capabilities also make it possible for companies to monitor communications taking place with callers to ensure quality and further improve service levels.

Another feature offered as part of the latest phone systems is Live Screening. This can help agents get to the most important calls first and bounce calls to voicemail as needed.

Also, to improve customer relationships, phone systems can be tied to CRM software so that when a live agent and caller are connected, information about the caller and type of call, will be available right on their screen.

Choosing a business phone system will help companies to achieve their goals while also strengthening their relationship with the most important part of their business – the customer.
