Docs@Work: Managing and Keeping Your Mobile Devices Safe

As mobile devices are increasingly being leveraged for both personal and corporate use, employees are demanding continuous access to the device of their choice whether it is a smartphone or tablet, causing some major security issues to arise in any enterprise. However, with a mobile device management solution in place such as MobileIron’s Docs@Work, the user experience can be kept intact while confidential information remains protected at all times.


According to a recently published white paper titled, “Docs@Work: Data Loss Prevention and Secure Access for Mobile Content,” some of the challenges enterprise are currently facing with the increasing amount of mobile users are: mobile devices that were originally designed for the consumer is making them virtually impossible to lock down; these devices have a lot of storage which makes it easy to locally house a big amount of corporate information; they are connected to the cloud which makes it much less complex to move data from the specific device to the cloud without any limitations; and these mobile devices are being utilized to connect to any available network that could be completely unsecured.

Enter MobileIron, a mobile device management (MDM) provider that has developed its next-generation, highly flexible platform in order to both address and quickly overcome these barriers. Available either on-premise or hosted in the cloud, the company’s Docs@Work product powered on iOS give users a solution that makes it simple to save and view documents from both e-mail and SharePoint.

According to the white paper, “It lets mobile IT administrators establish data loss prevention controls to protect these documents from unauthorized distribution.”

Employees use e-mail all day long to interact with clients as well as each other, therefore it is vital that professional messages can be separated from personal e-mail to raise the bar on security in regards to corporate information. Although iOS comes complete with data loss prevention controls for the e-mail text itself, the same cannot be said for attachments. That’s where MobileIron’s innovative solution comes into play, as it boasts the functionality needed to safeguard any organization from insecure attachments while also enabling IT departments to no longer be required to manage multiple security-related features.

Docs@Work is in essence a document container that is placed on the mobile device and allows users to rapidly save documents in a secure manner on the device, protects the data with application-level encryption, can automatically wipe documents on the device if the device is lost or stolen, blocks certain clipboard functions including cutting/copying/pasting information from these documents to other apps, and enforces rigorous policies and permissions preset in MobileIron.

“Docs@Work solves the core content challenge for mobile IT: providing a great mobile user experience without sacrificing document security,” the paper concluded.

In recent report featured on TMCnet, Ojas Rege, vice president of Strategy at MobileIron, commented that MobileIron Docs@Work gives the company’s customers the mobile DLP controls they need without sacrificing the native Apple (News - Alert) e-mail experience their end users know and love.
