FaxCore Fax Over IP Solution Reduces Costs, Boosts Productivity: Case Study

In standard office environments, it can often be a challenge to drive efficient workflows. If an analog fax machine is involved in the office flow, manual processes are required to complete ordinary tasks and standard communications. While this may have been the only method available in the past, new innovations in technology are making it possible to streamline process and remove the manual demands. 



One example is the Vanderburgh County Sheriff’s office in Indiana was one organization that relied heavily on fax communications to facilitate the exchange of critical paperwork with the county court, attorneys and other law enforcement agencies. At one time, the office operated 15 standalone fax machines. This presented considerable challenges for the agency and they sought to integrate Fax over IP (FoIP) with a new VoIP-based phone system. 

The goal was to streamline operations and reduce costs, while also ensuring the office could always manage office processes effectively. As Greg Selby, manager of information systems for the sheriff’s office, noted, “If fax goes down, we are unable to process inmate release forms, which could impact many aspects of our business.

”The sheriff’s office was facing the increasing pressures of growing demands on communications and tight budget constraints. The office also needed to reduce its fax consumable costs, boost productivity through the automation of manual fax processes and the elimination of the expense of dedicated analog fax circuits. The paper, toner and on-going maintenance contracts for the 15 machines were simply too expensive. 

The office consulted with colleagues to determine the best course of action and as a result, Selby selected FaxCoreThis solution relies on the Dialogic (News - Alert) Brooktrout SR140 Fax Software. This new network fax system was successfully deployed as part of a VoIP system, which allowed the office to leverage its VoIP investment while also reducing overall costs. Selby also selected TransOptions Messaging as its implementation partner and resellers for the new FoIP system. 

With this new partnership, the sheriff’s office was able to configure 20 Direct Inward Dial (DID) lines to leverage its VoIP investment through the consolidation of VoIP and FoIP seamlessly on a common network infrastructure. This approach eliminated the need for expensive dedicated analog circuits for fax machines. 

Through the implementation of an effective FoIP solution, the Vanderburgh County Sheriff’s office was able to deploy an efficient and effective communication method that significantly reduced costs and leveraged current technology investments.
