The Connection Between Project Management and Attendance Tech
Project management is an important part of the business world today, especially when so many project team members are spread across the globe. Project management is also more difficult today because of the mobile worker, but it does not have to be an impossible task. Companies are beginning to utilize attendance tech to manage projects, especially if a large portion of the project team is working outside of the office. Today, we will discuss the connection between project management and attendance tech.
Project Management Today
Project management has gone from speaking with a team of five people face-to-face in the office to possibly holding a meeting over Skype (News - Alert) with each person. It is quite possible that many teams working on projects these days are based in various locations. This makes it more difficult for team leaders to hold meetings, especially if employees are in different time zones.
Gone are the days of calling a meeting at 9 a.m. and having five people in one room for 30 minutes to discuss progress. Now you have to make sure to pick a time that is convenient for everyone across multiple time zones and ensure they have an Internet connection in order to video chat.
How to Manage Project Milestones
How do project managers handle project milestones these days? We already discussed the fact that team members might not be in the same location because of mobile workers, so how is this done? Every team project is different and comes with different milestones. It can be difficult to track the milestones now that team members are floating around the world and checking in via the Internet.
Companies have begun using attendance tech, such as absence management software, to track their project milestones. This software is easy to install, easy to use and can be taught in a matter of moments to all employees. This software can create reports for employee attendance, clock in and clock out times, absences and more.
Team Member Attendance Records
As with any type of project, team member attendance is vital to success. When one or two members of a team are the only ones showing up for project meetings, or working on the project, it can become difficult to get anything completed on time or at all. Time and attendance systems can be used to record team member attendance with projects at the office.
When it is time to begin working on a project as a team, each member should clock in using a biometric system and select the project they have been assigned. This will not confuse the employee’s clock in and clock out times for the day as a whole because these systems allow you to schedule overlapping events and differentiate between them.
Management can then go into the system and run reports on every project assigned in a specific department to see which employees are actually working on them and when they are working. This is beneficial to the success of every project and to the bottom line of the business. Even though no one wants to constantly monitor employees, this is a great way to promote accountability.
Employee Accountability Increases
The connection between project management and attendance tech, specifically when using an absence tracker, occurs with employee accountability. When employees know their time on the clock can be looked at almost every minute of the day, it makes them become more accountable for their actions. Their managers know when they clock in and out, when they take breaks, if they take too many breaks and when they are working on assigned projects and for how long. If their performance lags, managers will know. This should be enough of an incentive for employees to be more productive.
Project Quality Assurance
Attendance tech can also be used to provide project quality assurance. Even though employees will be asked to clock in when working on their assigned projects, it does not mean quality work is being performed. These systems can be programmed to include stoppage times for employees. For example, if they have been logged in for two hours, they will be forced to log out and show their work to a supervisor for a quality check. This ensures that the work being performed is up to par and does not fall too far behind.
Mandatory Messages
Do you need to get a mandatory message in front of a specific employee or group of employees? Many attendance systems give you the option of posting a message on the login screen. The employee will not be able to do anything else after logging in until they read the message and then acknowledge they read it by clicking a button. This is a good connection to have with project management when you need changes made or files updated on a deadline.
Project management has started to incorporate attendance tech when dealing with milestones, deadlines, employee participation and more. Attendance tech makes it easier for project managers to connect with remote employees and ensure the quality of the project.
